Membership Procedures

Members considering proposing someone for membership in the Association should become acquainted with the following procedures. It is the Membership Committee’s wish that the process goes smoothly for the member and the candidate and that there is a good fit between the candidate and the Association. Please consider the following as the minimum requirements which should be followed to ensure a smooth process.

1. A potential proposer should give the front desk  a Candidate’s Information Sheet with as much information as possible; the candidate’s name and proposer’s name as a minimum. This allows the Club to keep track of the process and help in completing the process. The proposer need not have invited the prospective candidate to join at this point.

2. Valerie Baker will arrange an informal meeting between the proposer, the candidate and one or more members of the Membership Committee.

3. Valerie Baker will contact the proposer to complete the candidate’s application. This includes a completely filled out Candidate’s Information Sheet, a proposing letter and a seconding letter. These letters should include comments on the candidate’s character and other information not found on the Information Sheet. Letters should be typed on personal stationary. The proposer and the seconder should sign the candidate’s book as well. This may be done by proxy.

4. Candidates will be invited to attend a Candidate’s Reception held on the second Thursday of each month from 6:00 pm to 6:45 pm. The proposer or the seconder should attend with the candidate. Should it be impossible for a candidate to attend any scheduled reception an alternate meeting can be arranged.

5. The Membership Committee will meet following the reception to consider candidates. No candidate will be considered formally until all paperwork has been completed. Incomplete packages will be laid over to a subsequent meeting.

6. The Trustees will consider all candidates recommended for membership by the Membership Committee on the third Thursday of each month.

The membership process will take a minimum of one month. Each candidate must be listed in the Newsletter at least once and must be posted for ten business days as well. The Membership Committee assumes that any candidate has been to the Club and is familiar with us. The Chairman or Vice Chairmen, on behalf of the Committee may suggest that any candidate become a bit more familiar with the Club and other members before completing the process.
